Welcome to the first in a series of RMC 2010 Exhibitor Updates! These newsletters include helpful tips along with important show planning information. Please do not reply to this email. RMC 2010 Hotel Reservations

A limited number of rooms at the conference rate have been set aside at the Gaylord Palms for RMC participants. Hotel reservations may be made online via the RMC 2010 web site – www.rmc2010.org. Click on the Hotel/Travel link.

Make your reservations by April 2, 2010 to guarantee the conference rate of $189.
All rooms are subject to applicable taxes and fees. Hotel tax rates are subject to change
without notice.

REMINDER! Your space application confirms your company as an exhibitor in RMC 2010. Badge registration for staff is a separate process. Exhibitor registration can be done online, by fax,
or by mail.

Exhibitor badge registrations are as follows, per 10’x10’ booth:

  • 1 Complimentary Exhibit Manager Registration
    (Includes conference sessions and 1 ticket for each Food & Beverage function in the exhibit hall)
  • 2 Additional Paid Exhibitor Conference Registrations at $971 each (25% discount)
    (Includes conference sessions and 1 ticket for each Food & Beverage function in the exhibit hall)
  • 5 Complimentary Exhibitor Hall admissions
  • Unlimited Paid Exhibitor Hall admissions @ $150 each

All RMC badges will be available for pick up at the Registration Counter in the Gaylord Palms Convention Center.

Exhibitor Service Manual

The online Exhibitor Service Manual will be available within the week. Exhibitors will be notified via email when the manual is online. The link to the online service manual will be posted under the Exhibits/Sponsor tab of the RMC web site – www.rmc2010.org

The manual includes details on shipping materials to the show, union labor jurisdictions, ordering electrical and Internet services, as well as general show information. GES Exposition Services is the general contractor for labor, shipping, furnishings and cleaning. The “Additional Services” section includes information from the following:

  • CompuLEAD for lead retrieval
  • PSAV for any computer and/or audio/visual needs
  • Gaylord Palms Exhibitor Services for Internet services and in-booth catering orders
  • GES electrical and cleaning

To download order forms and/place orders online, you will need to create a GES account (if you do not currently have one). If you do not want to place show orders online, you may print out any necessary order forms, complete these and send via fax or mail for processing.

Lunch With the Experts

Lunch with the Experts is an opportunity for exhibitors to moderate a table topic at the Wednesday luncheon. The entire table is made up of people with like interests. Conversations are exciting and attendees see the luncheon as one of the most valuable aspects of the conference. This should not be a sales pitch but an opportunity to educate attendees on a topic that you are an expert on.

The moderator acts as a catalyst, introducing people to one another and generally being a part of the conversation. A great time is had by all, and most attendees and moderators report that they end up making some valuable contacts.

If you would like to host a table please let us know by returning this form with the suggested discussion topic. The deadline to submit is Friday, March 19th.

Your eVIP Pass is now available. We encourage you to take advantage of these hall passes as they offer your customers FREE admittance if they register by May 23, 2010.

eVIP Passes are also accepted on-site but registering in advance will save attendees money and time that can then be spent on the show floor.

eVIP Pass Policies:

  • These passes are for guests only, not for exhibitor staff.
  • The pass applies to new registrations only – no refunds or credits will be made for previous registrations.
  • Free registration deadline is May 23, 2010. Registrations after this date and onsite are $25 per person.
  • There is no cost/credit value for the pass.
  • No transfers or name changes will be accepted once the pass is used.

  • January 8: Final payments were due.
  • April 2: Early Bird deadline for CompuLEAD lead retrieval.
  • April 2: Reserve your hotel rooms to receive the guaranteed RMC
    Conference rates.
  • May 3: Pre-Show Attendee List available.
  • May 14: Advance registration closes.
  • Sunday, May 23: Exhibitor move-in begins. All exhibits are to be set by 12:00pm on Monday, May 24, 2010.
  • Monday, May 24: Exhibit Hall opens at 4:00pm
